The level of service you choose is likely to be dependant on your own knowledge of current legislation, experience, skills, and the amount of time you have available to spend on the management process. Please be aware that all landlords are required to register themselves and the properties they own with Rent Smart Wales. For landlords who choose to self-manage properties, there is an additional licence requirement with Rent Smart Wales which involves studying and passing an exam to become a licenced landlord. Landlords choosing an agent to manage the property do not need to license themselves, they only need to register with Rent Smart Wales

Managed Service for Properties to Let

For our property management service, we carry out all of the tenant find service, as well as prepare the inventory which is typically around 80 pages and is charged separately. We also arrange other certifications required before the let can commence (additional charges for certificates may apply). We are also here as experts in housing legislation to help guide you through any challenges that you may face as a landlord.

We will collect and transfer rents to you, minus any deductions for fees, certificates and maintenance. If the tenants/ contract-holders are late with rent payments, we will chase and if necessary, serve the relevant notices to begin eviction proceedings.

We will deal with any queries during the tenancy and carry out regular inspections to ensure the tenants are keeping the property in good condition and there are no obvious maintenance issues that have not been reported. If the tenants are not keeping it in a good condition, we will take relevant action including more regular visits and notices of breach of tenancy.We will take all calls for maintenance and liaise with contractors, as well as payment to the contractor on completion from the rent.

We provide a 24-hour emergency line for urgent issues.

At the end of the tenancy, we will carry out a check-out inspection, prepare the report, compared to the original inventory, work out costs of repair, compare to appropriate wear and tear and then take account of dilapidation on the items in question. We will then submit this to the deposit scheme to claim that cost and reclaim from the deposit and release the rest to the tenant. If the amount is disputed, we will make the case to the alternative dispute resolution service (ADR) on your behalf wit hall the evidence we hold. We will then prepare the property for re-let and the cycle begins again.

What is included in our tenant find only service?

This option is for landlords who are confident that they know their legal responsibilities and what constitutes best practices in managing properties. This option saves the cost of a managing agent but can require considerable investment in time. Self-management may not be suitable for landlords who do not live close to their properties or away from home for significant periods.

If problems arise, you might require advice from a professional adviser such as a solicitor or accountant, which will come at a cost.

All self-managing landlords must be registered and licensed with Rent Smart Wales to carry out letting or property management activities.

Once we are instructed as your letting agent, we start by visiting the property to take photos, and get the full details and descriptions to enable marketing of the properties on various portals including Rightmove as well as our own website and office.

We take the time to find out what kind of tenants you are looking for and also give advice based on our experience and knowledge of the area.

We take all enquiries and carry out accompanied viewings with extended office hours, so we are able to cater for people with busy lives!

Once we find the right kind of tenants we can negotiate on your behalf and carry out full referencing checks which we outsource to a specialist referencing company, Homelet. This is quite a detailed process and includes getting references from employers, landlords and carrying out credit checks.

Once the referencing is complete and passed, we draw up the contracts, sign with the tenants, and then register the deposit in your preferred deposit protection scheme (TDS, DPS or MyDeposits).
